


Sponsorship Program Administrator– Position Profile
Reports to: Sponsor Relations and Program Coordinator
Salary: $25/hr
Summary:
This role is responsible for the efficient administration of ChildCare International’s sponsorship program, with a primary focus on data entry, updating child and sponsor information, and processing correspondence between beneficiaries and sponsors (70%). The position also supports donor relations (10%), international field partner communication (10%), and internal fundraiser support (10%). The ideal candidate combines strong administrative precision with a warm, service-oriented approach to stakeholder engagement.
Work location: The CCI office located in Surrey, B.C.
Work hours: 8 hours per day. 4 or 5 days a week.
Key Responsibilities:
1. Administrative & Data Management (70%)
· Create and manage accurate sponsor and child records in the contact management system.
· Create and manage digital and physical files for sponsors and sponsored children.
· Receive and process child registration data from field partners; update databases accordingly.
· Process correspondence between beneficiaries and sponsors.
· Generate reports for internal use and donor updates.
· Support general office administration and provide assistance to other departments as needed.
2. Donor Relations (10%)
· Respond to sponsor inquiries via phone, email, and letters regarding donations, child updates, and sponsorship options.
· Resolve account issues and ensure a positive sponsor experience.
· Process and send personalized updates and impact communications received from the field to sponsors.
3. International Field Partner Communication (10%)
· Assist in communicating with global field partners to gather child data, project updates, and sponsorship needs.
· Maintain respectful, culturally sensitive communication across time zones with field partners.
· Assist with obtaining updates on project status and child availability.
4. Fundraiser Support & Education (10%)
· Provide sponsorship materials and child availability updates to fundraising representatives.
· Train and support fundraisers on internal systems and sponsorship processes.
· Ensure marketing materials and sponsorship tools are current and accessible.
Desired Qualifications:
Hard Skills:
· Strong organizational and time-management skills with high attention to detail.
· Proficiency in data entry, database management, and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Experience with contact management systems and workflow tools.
Soft Skills:
· Ability to pivot between tasks.
· Empathetic and professional communication style for donor interactions.
· Cultural sensitivity and diplomacy in international communications.
· Service-oriented mindset with the ability to educate and support internal stakeholders.
· Problem-solving ability and calm working well under pressure.
Preferred Qualifications
· Experience in the nonprofit sector, especially in child sponsorship or international development.
· Post-secondary education in administration, communications, marketing or a related field.
· Familiarity with global child sponsorship models and donor engagement strategies.
The Work Environment and Physical Demands
· The position is based at the office in Surrey, but serves and interacts with staff across a variety of time zones
· The individual will utilize available technology to accomplish the desired outcomes
